How the schedule works

The Studio Color schedule is built around shoot days. Each day has a date, day number, call and wrap times, and a status. Within each day, you assign the locations you’ll be shooting at, the scenes you’ll film at each location, and the crew members expected on set that day.

The schedule is visible to all crew members. Each crew member can see their personal schedule from My Page, which shows only the days they’re assigned to.

Shoot day statuses

Each shoot day progresses through the following statuses:

Planned
Confirmed
Shooting
Wrapped
  • Planned — The day is on the schedule but not yet finalized.
  • Confirmed — The day is locked and crew has been notified.
  • Shooting — Active shoot day. Changing a day to this status sends a push notification to all crew members with the mobile app.
  • Wrapped — The day has concluded. Changing to wrapped also triggers a push notification to crew.

Creating shoot days

  • Navigate to Schedule in the Production section of the sidebar.
  • Click Add Day and fill in the date, day number, and call time.
  • The new day appears in the schedule list. Click it to open the day detail view.
Note:Only super admins can create, edit, or delete shoot days.

Building out a shoot day

Opening a shoot day takes you to the day detail page — the core planning view. From here you build out the full picture of the day.

Assigning locations

Click Add Location to assign a shooting location to the day. You can add multiple locations (e.g. morning at the diner, afternoon at the apartment). Each location entry on the day has its own call time, wrap time, and notes.

Assigning scenes

Under each location on the day, click Add Scene to assign scenes that will be filmed at that location on that day. You can also set an estimated duration for each scene and add notes. When a scene is added to a day, its status automatically updates toScheduled.

Tip:You can also add scenes to a day without assigning them to a specific location on that day — useful for scenes where the exact location hasn’t been confirmed yet.

Assigning crew

Click Add Crew Member to add project members to the day. Each crew assignment can have its own call time, wrap time, and notes (useful for crew whose call differs from the general call).

Crew members assigned to a day see that day on their personal My Pageschedule in the app.

Day notes

Each day has a plan notes field for general production notes — weather concerns, special logistics, safety briefings, etc. This is visible to all crew.

Schedule Timeline

The Timeline view gives a visual read across the entire schedule — you can switch between views organized by day, by location, or by scene. It’s useful for identifying scheduling conflicts, checking scene distribution across days, and getting a high-level production overview.

The timeline is also available on mobile for crew to browse from the Departments tab.

Push notifications

Studio Color sends automatic push notifications to all crew with the mobile app when:

  • A shoot day status changes to Shooting.
  • A shoot day status changes to Wrapped.

Additional notifications (like lunch breaks or general announcements) can be sent manually from the Notifications section, accessible to super admins.
